How to send a fax from a computer without a fax machine
Oct 26, 2026
Fax has not gone away. Doctors, courts, banks and government offices still ask for documents by fax, and many of them will not accept anything else. The good news is that you do not need a machine, a phone line or a trip to a print shop. An online fax service turns your computer into the sending side.
What you need
You need the document, the recipient fax number and an online fax account. The document can be a PDF, a Word file, a spreadsheet or a photo. If you only have paper, scan it with your phone and save the result as a PDF.
Step by step
- Sign in to your fax service and choose the number you send from.
- Add the file or files. Several files are merged into one fax.
- Enter the recipient number with the area code.
- Add a cover page if the recipient expects one.
- Send and wait for the status to change to delivered.
Check the number twice
A wrong digit sends your document to a stranger. Confirm the number with the recipient, and if the document is sensitive, send a one page test first. Most services show the number on the receipt so you can verify it afterward.
Keep the receipt
The delivery receipt is your proof. It records the time, the number and the page count. Save it with the document, especially for legal and medical files where you may need to show that you sent something on a given day.
Aim for a clean scan
Fax pages are black and white at low resolution. Use dark text, avoid thin gray lines and make sure signatures are clear. A clean scan beats a shadowy photo.
If you send faxes often, an account with a dedicated number lets the other side reply to you. See how sending a fax online works with Faxy or compare plans.
