Why accounting firms still fax

Lenders, payroll providers, state agencies and clients with no scanner at home all fall back on fax. During filing season the volume jumps for a few weeks, then drops. A machine and a phone line sit idle most of the year and jam at the worst time.

An online fax service replaces the machine with accounts. Staff send from their desks, incoming faxes arrive as PDF in the right inbox and client tax documents never wait in a shared tray.

What a firm gets with Faxy

  • A dedicated fax number, or your current number ported over, so clients keep faxing the same place.
  • Named users for partners, preparers and admins, with control over who sees which number.
  • A delivery receipt for each fax with the time, the number dialed, the page count and the final status.
  • An activity log showing who sent, opened or downloaded each document.
  • A searchable archive, so you can find a signed authorization months later.
  • Incoming faxes delivered by email as PDF, ready to drop into the client file.

Signed forms, authorizations and bank requests

Engagement letters, signed authorizations, payroll forms and bank or lender verification requests are the typical traffic. Many of them have a deadline tied to a filing date or a loan closing.

The receipt tells you the transmission finished, so no one phones the other office to ask. If a send fails you see the reason right away and can resend while there is still time.

Protecting client financial data

Tax returns and bank statements carry sensitive identifiers. Named accounts, limited access per number and an activity log reduce the risk of a page being seen by the wrong person. The security page lists the controls. Your firm still sets its own written information security policy, and Faxy fits inside it.

Handling the filing season spike

Pages are counted against a monthly allowance and you can watch usage. A firm that sends 400 pages in March and 40 in August can choose a plan for the busy months and move down later. Annual billing takes 50 percent off the monthly price.

Seasonal staff get their own login for the busy weeks and lose access afterwards, which a shared password cannot do.

Moving off the office machine

Most firms keep their number. Port it to Faxy or forward it while the transfer completes, then retire the machine and the dedicated line. Scanned paper, PDFs and images convert to fax pages automatically, and staff can also send by email, see email to fax.

Choosing a plan for a firm

A small practice with one number fits Starter at 49 USD a month with 1,000 pages. A firm with several preparers, roles and an audit trail fits Business at 129 USD with five numbers and 5,000 pages. Larger multi office firms use Team. See the pricing page for details.

How a firm sets up in a day

  • Create the account and choose a new number or start a port of the existing one.
  • Add partners, preparers and admins and set which numbers each can see.
  • Route incoming faxes to the right inboxes.
  • Send a test fax to a bank or colleague and check the receipt.
  • Retire the machine once the port completes.
